After receiving the confirmation email from IT informing you that your Team has been created, you, as the owner of the Team, have many things you can add and change for the Team.


Add members/owners

One of the first things you should do is add other individuals to your Team and set them as a member or owner. To do this, click the ellipsis and then click Add member. From here, you can type the name of the person you’d like to add, add them and set whether they are a member or an owner.


Create channels

The next thing you should do is create different channels (or just stick with the already created General channel). To do this, click the ellipsis and then click Add channel. From here, you can name the channel, add a description and determine whether the channel is automatically favorited by everyone in the Team. Favoriting a channel means it will automatically show in the Team’s channel list.


Create and customize channel tabs

Each channel has its own unique set of tabs that are created when the channel is created. The default tabs are:

  • Conversations – Where the channel chat lives.
  • Files – The channels own document library.
  • Wiki – The channel wiki is a text editor where you can define what the channel is used for, channel rules, etc. This is entirely up to the Team and its owners.

Along with these tabs, you can add many other tabs. Some common examples are:

  • Document library – You can add another document library (including from your Team’s original SharePoint page).
  • Forms – You can attach a Microsoft Form you’ve created.
  • OneNote – This allows you to add a notebook from your OneNote. Adding the Team’s notebook is a common practice.
  • Website – This allows you to add a website to a tab in your channel (Look at the Prosperity Now Helpdesk tab under the General channel in the Prosperiteer’s Team).
  • Word, Excel, PowerPoint, PDF – This allows you to link a single document to a tab.

The options are limitless. Each adds another layer of functionality to using Team’s as a one stop shop!


Visit your Team’s Office 365 site

When your Team is created, an Office 365 Group site is created. This is like a SharePoint sites every team currently has. This site ties directly to your Team (For example, when you make a new channel, a new folder is created for that channel in the site’s document library). We won’t go in to what you can do with this site as it is out of the scope of this document. However, teams are welcome to visit their Team’s site to use and customize it however they’d like!


The URLs for Office 365 Group sites are https://cfed.sharepoint.com/sites/your_team_name_with_no_spaces. For example, the IT Team Office 365 Group site URL is https://cfed.sharepoint.com/sites/ITTeam.


View your Team’s Outlook group & calendar

Along with an Office 365 Group site, your team also gets an Outlook group when your Team is created. An Outlook group is essentially a shared mailbox that all Team members can send email from and all members can see all email received by the mailbox. Not only that, but the Outlook group also gives the Team a shared calendar, which can be used to schedule events for all team members or communicate travel or vacation to everyone.


To view your team’s Outlook group, click the arrow beside Groups to expand the list groups you are a part of. From there, select the group you wish to open.

To view your team’s Outlook group calendar, select the group you wish to view from the calendar group called All Group Calendars.
